Template Structure

Every signal-based outreach message follows the same 4-part structure:

1. Signal Reference

Prove you did your homework. Reference the specific signal you observed.

2. Relevance Bridge

Connect the signal to a pain point or opportunity they care about.

3. Value Proposition

Explain how you solve the problem created by the signal.

4. Low-Friction CTA

Ask for a small next step (not a demo or sales call).

Templates by Signal Type

New Executive Hire

Urgency: Medium (60-120 days)

Subject Line:

"Congrats on joining [Company] as [Title]"

Template:

Hi [Name], Saw you just joined [Company] as [Title] — congrats! I noticed in your announcement post you mentioned [specific goal from their LinkedIn post, e.g., "modernizing the sales tech stack"]. We work with [similar companies, e.g., "B2B SaaS companies scaling post-Series B"] to [specific outcome, e.g., "reduce sales cycle by 30-40% through better lead qualification"]. Most new [CRO/CMO/etc.] we work with face the same challenge: inherited tech that doesn't support their growth goals. We help them audit, optimize, and (if needed) replace underperforming tools. Would a 15-minute "tech stack audit" be useful in your first 90 days? No pitch, just a framework you can use internally. Best, [Your Name] P.S. Here's a case study of how [Similar Company] approached this after their new CRO joined: [link]

Customization Tips:

  • Replace [specific goal] with exact quote from their LinkedIn announcement
  • Use their industry/company size in [similar companies]
  • Attach a relevant case study or framework document

Funding Announcement

Urgency: Medium (60-120 days)

Subject Line:

"Congrats on the [Series X] — scaling question"

Template:

Hi [Name], Congrats on the [Series B]! Saw the announcement on [Crunchbase/TechCrunch] and noticed you're planning to [specific goal from press release, e.g., "scale go-to-market operations"]. Quick question: have you mapped out your [sales/marketing/ops] tech stack for the next 12 months yet? We work with [15+ SaaS companies] post-funding to avoid the "tech debt trap" — where you bolt on tools reactively and end up with a Frankenstein stack 18 months later. Would a "post-funding tech roadmap" template be useful? It's a 1-pager that helps you plan tool adoption as you scale from [current ARR] to [target ARR]. Let me know if you want it — happy to send over. Best, [Your Name]

Customization Tips:

  • Reference specific funding amount and goals from press release
  • Mention current ARR if publicly available
  • Offer a free template or framework, not a demo

Negative Review of Competitor

Urgency: High (30-60 days)

Subject Line:

"Saw your [G2/Capterra] review of [Competitor]"

Template:

Hi [Name], I came across your review of [Competitor] on [G2/Capterra] where you mentioned [specific pain point from review, e.g., "too complex for our team size"]. We hear this a lot from [company size/industry] teams. Most [CRM/marketing automation/etc.] tools are built for enterprise and feel like overkill for [50-200 person] companies. We built [Your Product] specifically for teams like yours: [key differentiator, e.g., "same power, 1/3 the complexity"]. Would a side-by-side comparison (your current setup vs. what we'd recommend) be useful? Takes 10 minutes, no obligation. Best, [Your Name] P.S. Here's how [Similar Company] made the switch: [case study link]

Customization Tips:

  • Quote their exact words from the review
  • Emphasize how you solve their specific pain point
  • Offer a comparison, not a demo

Job Posting for Tool Owner

Urgency: High (30-90 days)

Subject Line:

"Saw you're hiring a [Marketing Automation Manager]"

Template:

Hi [Name], Noticed you're hiring a [Marketing Automation Manager] to [specific responsibility from job posting, e.g., "own and optimize HubSpot"]. Quick question: have you already committed to [HubSpot], or are you still evaluating options? We work with [50+ B2B companies] to help them choose the right [marketing automation/CRM/etc.] platform before they hire the person to run it. (Saves a ton of headache later.) If you're still in evaluation mode, I can send over our "[Platform Selection Framework]" — it's a scorecard that helps you compare [HubSpot/Marketo/Pardot/etc.] based on your specific use case. Let me know if that'd be useful. Best, [Your Name]

Customization Tips:

  • Reference exact job title and responsibilities
  • Offer a decision framework, not a sales pitch
  • Position as helping them make the right choice, even if it's not you

Security Breach / Compliance Failure

Urgency: Very High (14-30 days)

Subject Line:

"Re: [Company] security incident"

Template:

Hi [Name], I saw the news about [Company]'s [security incident/audit failure]. I'm sure your team is in crisis mode right now. We specialize in [rapid deployment of HIPAA-compliant encryption / SOC 2 remediation / etc.] for [healthcare/fintech/etc.] companies under deadline pressure. Our fastest deployment was [7 days] for a [similar company] facing a similar situation. If you need help, I'm available for a call today or tomorrow. No sales pitch — just want to see if we can help you get compliant fast. Best, [Your Name] [Phone Number] P.S. Here's our [compliance checklist] you can use internally: [link]

Customization Tips:

  • Be respectful and helpful, not opportunistic
  • Lead with speed and urgency
  • Offer immediate value (checklist, audit, etc.)

M&A Activity

Urgency: Medium-High (60-120 days)

Subject Line:

"Congrats on the [acquisition/merger]"

Template:

Hi [Name], Congrats on [Company A]'s acquisition of [Company B]! I saw the announcement on [source]. Quick question: have you started planning the [tech stack integration] yet? We work with [PE-backed/growth-stage] companies post-acquisition to help them [consolidate redundant tools / migrate data / standardize processes] without disrupting revenue. Most M&A integrations fail because of tech debt and data silos. We help you avoid that. Would a "[Post-M&A Tech Integration Checklist]" be useful? It's a framework we built after working with [10+ companies] through this process. Let me know if you want it. Best, [Your Name]

Customization Tips:

  • Reference specific companies and deal details
  • Focus on integration pain, not product features
  • Offer a checklist or framework

Best Practices

Always reference the specific signal. Generic outreach gets ignored.

Keep it short. 150 words max. Busy executives don't read essays.

Offer value before asking for time. Give a framework, checklist, or case study first.

Match urgency to timing. Crisis-mode signals get same-day calls, not nurture emails.

Personalize beyond [Name]. Reference their LinkedIn post, press release, or review verbatim.

Use a low-friction CTA. Ask for a resource share, not a 30-minute demo.

Follow up once if no response. Twice is pushy, three times is spam.
